How to compare photo booth quotes: what to actually check

Three quotes, with prices up to double: often they don't describe the same service. The ten points to check, line by line, before you compare prices.

You have three quotes in front of you, and the amounts range up to double. It's rarely a rip-off: usually they simply don't describe the same thing. Here are the ten points to check, line by line, before you compare prices.

1. Does someone stay on site?

This is the biggest difference between two offers. "Delivery, set-up and collection included" means someone brings the booth and leaves. During the party, your guests are alone with the screen. Just ask: who is there between the first photo and the last?

2. How many hours – and what does each extra one cost?

A "24-hour rental" isn't twenty-four hours of entertainment; it's how long the booth stays with you. Compare the hours someone is actually there, and ask the price of an extra hour in case the evening runs late.

3. Prints: unlimited, or how many?

Some quotes include a set number of prints, others are unlimited. Check the format and the printer too: a lab-quality dye-sublimation printer gives prints that last; an office printer doesn't.

4. The equipment

A real camera and studio lighting, or a tablet and its built-in camera? You see the difference on every photo. Ask for unretouched sample prints, not just mood shots.

5. Travel

Is it included anywhere in Luxembourg, or charged per kilometre? And parking, if the venue is in town?

6. Deposit, booking fee and cancellation

A security deposit covers possible damage; a booking deposit secures the date. They're two different things. Read the cancellation terms too: what happens if your event is postponed?

7. Plan B

A printer can jam, a cable can fail. Who fixes it during the evening, and is there backup equipment? With nobody on site, the answer is often: no one.

8. The photos after the party

How long does the gallery stay online? Is it password-protected? Where are the photos stored, and who can access them? This is personal data – a serious supplier can answer.

9. Personalisation

A print layout in your colours, your logo on screen, matching props: included, or extra?

10. VAT

Always compare totals including VAT. A quote excluding VAT looks cheaper; add 17% and the gap may vanish. Conversely, some suppliers don't charge VAT at all.

How to put the quotes side by side

Take a sheet, list these ten points as rows and your quotes as columns. Note what's included and what isn't. Only then compare the prices – and you'll finally be comparing like with like.
